Operations Coordinator – Cruise

Job Description

The position of operations cruise coordinator primarily involves handling and taking care of cruise clients creatively and professionally, and it involves additional tasks as the company develops and changes its business model. The Operations Cruise Coordinator may be assigned specific tasks or projects and might receive additional tasks from a Manager.

Responsibilities as an Operations Cruise Coordinator include

Our clients
• Responsible for the planning and preparation of creative offers tailored to the client’s needs.
• Responsibilities may include planning, scheduling, and overseeing logistics, resources, and timelines for projects.
• Booking tours and programs for clients, as well as coordinating hotels, transportation, guides, attractions, and restaurants.
• Assisting and coordinating in the execution of the tasks, as well as any meetings with clients and managers. Assisting during turnaround and Shorex operations, and if needed helping on MICE projects when possible.
• It is important to build a strong relationship with clients to showcase our excellent service and loyalty, understanding their needs, and striving to meet them.
• Deliver a high standard of professional service to all customers.

Suppliers
• Maintaining close communication and fostering good collaboration with the company’s suppliers.
• Possessing a comprehensive understanding of suppliers, their products, and potential services to ensure the best outcomes for the client. This includes staying updated on one´s country of employment as a tourist destination, particularly within the Cruise sector.
• Planning and preparation of turn-around operations at the airport, hotels, and ports. This includes, i.e. preparing manifests and booking means of transport, staff and guides; preparing and distributing all materials, uniforms, etc.

Travel activity
• Understanding that the position may involve travel activities within the country to manage and ensure the successful execution of tours/programs, as well as potential destination checks.
• Organize and participate in fam trip/site inspections when requested.

Budgeting
• The position also involves calculating sales prices, invoicing customers, and approving supplier invoices.

General responsibilities and contribution to DMC-Nordic

• Responsible for organizing and coordinating activities, projects, or events within the organization.
• Be able to work independently or with some supervision.
• Taking ownership of assigned tasks and ensuring that they are completed on time and within the budget.
• Coordinators liaise with clients, suppliers, and partners to confirm reservations, resolve issues, and provide any assistance needed.
• Resolving issues and facilitating collaboration among team members.
• Responsible for decision-making within the area of expertise or assigned projects or under supervision from a manager.
• Stay updated on relevant information and assist with research.
• Work together with colleagues and provide any help needed in a positive and open-minded way.
• Be supportive of colleagues and train new department staff when required.
• Contributing to the development and promotion of: DMC Nordic Group as an organization, and our products, and actively participating in collaboration with the other offices within the DMC Nordic group.
• Implement and maintain efficient workflows to optimize daily tasks and processes.
• Identify areas for improvement and develop strategies to increase productivity.
• Contribute to DMC’s work in standardizing and modernizing DMC’s materials such as PowerPoint, Excel programs, etc. in collaboration with DMC’s other employees.
• The employee is obliged to promote good cooperation and a positive working environment with all colleagues. This means, among other things, that the employee must contribute to avoiding disputes among the staff that could affect the working climate. The employee must also alert immediate superiors if such disputes occur.

Tasks will vary and evolve according to the position and the company’s needs. It is expected that a Coordinator will contribute to solving other relevant tasks.

• Keen on talking & interacting with suppliers, guests and partners with multiple backgrounds
• Fluent in English (other languages spoken are always an advantage)
• Your professional and academic background is not crucial but any experience from the industry (incoming, travel, logistics, planning and service) is a plus.
